(1) BOOKING CONFIRMATION
After a booking has been discussed and agreed upon between Lily Grace and the client, a Booking Form confirming all details of the booking is sent to the client via email. The Booking Form must be signed and returned via email to the artist, and a 50% deposit must be paid within 14 days of the quote being received. If the client is unable to sign and return the Booking Form, then an email stating acceptance of the costs, and terms and conditions can be emailed through.
(2) PAYMENT
A 50% deposit via electronic transfer confirms a booking & the remaining balance must be received by the artist 7 days prior to the performance date. If the client does not meet the payment requirements, Lily Grace reserves the right to withhold her services.
(3) REHEARSALS
Rehearsals are subject to artist availability and can be quoted upon request (unless already included in your chosen package).
(4) SONG REQUESTS
Song requests for key ceremony moments (based on the package chosen) are subject to a minimum of one month’s notice being provided for songs not already in Lily Grace’s repertoire. These will be accommodated subject to their suitability within Lily Grace’s vocal range and within the terms above.
(5) ADDITIONAL PERFORMANCE TIME
Additional performance time will be charged at $150 per hour (solo performance) and may be invoice separately should the client wish to extend Lily Grace’s performing time. All additional amounts are payable within 7 days.
(6) RUNNING SCHEDULES
The client is responsible for informing the artist or instructing the venue manager to keep the artist updated as to their running schedule including but not limited to ceremony start times, bride and groom entrance, pausing for speeches, cutting of the cake and first dance. It is ideal if the event manager can include the artist on the running schedule and keep them up to date at all schedule changes.
(7) VENUE REQUIREMENTS
Access to one 240v power point is required to operate an Evolve 50M Array Speaker System. For outdoor ceremonies, battery powered amplification equipment can be used (Roland Street Cube Ex). A flat performance area of 2x2m is required. In the case of extreme heat or wet weather, shade or shelter should me made be available, e.g. gazebo or umbrella. Please ensure you have an indoors/undercover area as a back up for wet weather. Due to electrical safety hazards, I am unable to operate my equipment if it is subject to wet weather.
(8) CAR PARKING & UNLOADING
Access to one car park is required for the artist in close proximity to the venue for unloading/loading equipment.
(9) EQUIPMENT SET UP AND PACKDOWN
Setup and sound-checks will take place from 30-45 mins prior to performance. During this time, complete access to the performance area must be provided. Pack down will commence at the end of performance time and will take around 30-45 minutes.
(10) PERFORMANCE BREAKS
As per industry standard, performances are 45 minute sets and the artist will be entitled to a break of not less than 15 minutes for every hour of performance. During this time, the artist will not be required to perform musical services and the artist will play similar style music from a playlist via the speaker system to entertain guests during these periods.
(11) TRAVEL & ACCOMMODATION CHARGES
Packages include 50km of travel by car each way (from Robina QLD). Beyond 50km, additional travel costs apply and will be added to the total cost. At the artists discretion, accommodation may be required for certain locations, depending on the event timing & location. Destination weddings will attract flight fees and accommodation fees. Please request a customised quote for locations outside of this range.
(12) INSURANCES
All equipment used by Lily Grace is tested and tagged and professional indemnity insurance is in place to meet all venue requirements.
(13) GUEST DAMAGE TO EQUIPMENT
In the event that Lily Grace’s equipment suffers damage from guests or drink spillage, an invoice for the repair or replacement of the equipment will be issued to the booking party.
(14) CLIENT CANCELLATION POLICY
The following fees are applicable in the case of the booking party cancelling the booking:
Cancellation within 60 days prior to the booked date – 25% of fee (half deposit retained)
Cancellation within 30 days prior to the booked date- 50% of fee (full deposit)
Cancellation within 14 days prior to the booked date – 75% of fee
Cancellation within 7 days prior to the booked date – 100% of fee
The booking is transferable subject to the artists availability on the new rescheduled date.
(15) ARTIST CANCELLATION
In the unlikely event that the artist has to cancel, all funds will be refunded to the client, including their upfront deposit. This is very unlikely, however if circumstances beyond the artists control prevent them from being able to gain access to or perform at your event (e.g. severe illness, impassable roads, an accident or covid restrictions), the artist will endeavour to provide as much notice as possible and assist to their best of their ability to help you to find a replacement.
